Brief Description

MIMSY XG marks a dramatic new direction in the use of computers to document museum collections. Highly scalable, infinitely customisable, and easy to manage, Willoughby Associates' flagship museum automation system, MIMSY XG, is a complete solution for managing broad ranging collections and delivering the content that will capture the imagination of its visitors. MIMSY XG is based on an enterprise-wide approach designed to serve the varied information and multimedia needs of all potential users including: curators, educators, administrators, conservators, collections managers, students, researchers, and the general public.

Rather than only managing the objects in your collection, MIMSY XG also helps you manage the enriched data - historic events, important subjects, related places, and crucial people - that give your collection depth and scope. To accomplish this, we have chosen Oracle, the leading relational database management system in the world, as the platform for MIMSY XG. As a result, MIMSY XG can accommodate enormous amounts of information, vast networks, and virtually any operating system.

Minimum Hardware

All servers require:

  • CD-ROM drive
  • Video Adapter: 256 colour
  • Monitor, Keyboard and Mouse
  • Server backup hardware and software

Server for Windows 2000 or 2003

For Oracle 9i:

  • Recommended Processor: Pentium 3, 1.4GHz minimum
  • Windows 2000 (Professional or Server) requires Service Pack 4 or later
  • Recommended RAM: 512 MB; the more data and users, the more RAM needed
  • Storage space (NTFS file system preferred): 4.5 GB for Oracle Home Drive. You should also account for space for your digital media files if you plan to store them on the MIMSY XG server

For Oracle 10g:

  • Recommended Processor: 550 MHz minimum
  • Windows 2000 (Professional or Server) requires Service Pack 4 or later
  • Recommended RAM: 512 MB; the more data and users, the more RAM needed
  • Storage space (NTFS file system preferred): 4.5 GB for Oracle Home Drive. You should also account for space for your digital media files if you plan to store them on the MIMSY XG server

Server for Linux or Unix

For Oracle 9i:

  • Minimum of 512 MB of RAM
  • Swap disk space equal to the system's physical memory, or 1GB, whichever is greater
  • Storage space: 5 GB
  • CD-ROM drive capable of reading ISO 9660 format CD-ROM discs with RockRidge extensions
  • Oracle Universal Installer requires up to 400 MB of temporary space
  • X Window is required for installation on LINUX

For Oracle 10g:

  • Minimum of 512 MB of RAM
  • Swap disk space equal to the system's physical memory, or 1GB, whichever is greater

Using Terminal Services

Oracle supports installing, configuring, and running Oracle Database through Terminal Services, on Windows 2000, Windows 2003, and Windows XP.

Platform-specific support information is as follows:

  • Windows 2000: Oracle supports installing, configuring, and running Oracle Database from a remote Terminal Services Client
  • Windows 2003: You can configure Windows 2003 to use Terminal Services in Remote Desktop for Administration Mode or Terminal Server Mode
  • Windows XP: The Remote Desktop is only available in Single User Mode

Client (PCs running Windows 2000, Windows XP Professional, Linux, Macintosh running OS X Jaguar version or later)

  • PC: Pentium-based computer 550MHz minimum OR
    Mac: 400MHz PowerPC G4 or 350 MHz PowerPC G3/iMAC
  • RAM: 256 MB minimum, 512 MB recommended
  • Virtual Memory: Double the amount of RAM

  • 128 MB of RAM (256 MB of RAM is recommended)
  • Graphics card capable of 1024x768 or higher resolution with 256 or more colours (65,000 colors recommended) and a compatible monitor. MIMSY XG is designed to display at a resolution of 1024x768.
  • Sound card for audio files
  • 120MB storage required for application

Operating Systems and Networks

MIMSY XG incorporates the Oracle (10g or 9i) database management system, the most popular relational database management system in the world. Oracle, and therefore MIMSY XG, is available on multiple operating system platforms including Windows 2000, Server 2003, Windows XP Professional, LINUX, and several varieties of UNIX. Please note that Oracle phased out support for Windows NT Server and de-supported the platform on January 1, 2005. Microsoft has also officially withdrawn support for both Windows NT client and server operating systems as of October 1, 2001. In addition, Oracle no longer supports database software on the Novell network system.

Images

Media metadata can be thoroughly documented in MIMSY XG's Media Authority. Data about images, sound and video files, documents, and other derivative file types can be maintained. An unlimited number of digital media files can be linked to a record. Media is stored on a server and links to media can be established and maintained. Users can integrate external media metadata from scanners and digital cameras into the database.

Users can link virtually any file type to a MIMSY XG record. Among the file types are:

  • Documents: HTML, SGML, DOC, TXT, WRI, PDF
  • Video: AVI, QTW, QTM, MPEG, MOV
  • Audio: WAVE, MIDI, CD, MP3
  • Image: BMP, TIFF, PCX, PICT, JPEG, RAS, GIF

MIMSY XG also offers and integrated Image Browser that can be accessed from within or outside the system and allows users to view and work with their collection in an image-based environment. Users can create groups of images, save them in the order that they appear on the screen for later use, and email media to others from this module.

Public Access

Möbius for MIMSY allows users to instantly publish collections information to an intranet, a web site, browser-based kiosks, or satellite institutions. Unlike other solutions for online museum publishing, Möbius is built specifically to work with the powerful capabilities of the MIMSY XG collections management system. Users can add Authority and select Activity data to their web presence, create and view groups of items that they have made, and organise how the data will be presented to the visitor.

Database Architecture

MIMSY XG is based on Oracle 9i or 10g, the leading relational database management system in the world. MIMSY XG provides an industrial-strength platform on which any museum may build an enterprise-wide information network. And MIMSY XG is a native Oracle application, so its performance exceeds that of products that use unoptimised ODBC links to an Oracle back end.

Mobile Museum (hand-held Audit and Location Update Utility): £1,500 for the first license, £500 for each additional license. Palm unit not included. Oracle 9i licenses (either named user or processor licenses) may be purchased either from Willoughby or directly from Oracle.

Training

The basic training rate is £500 per day (£1500 for three days) plus a £150 travel fee and a £150 per diem. For the standard three days of training, the user would be charged £2100.

Willoughby's training is very flexible, and we can work with the institution project coordinators to tailor a training plan that will enable the institutions to make the most of the project. It should also be noted that Willoughby trainers will train all staff on the third-party reporting tool as a part of our standard training package. Many other vendors skip this part, thereby crippling users ability to output information from the system.

Support

Our support package includes the following:

  • Unlimited toll-free access to the MIMSY XG Help Desk Monday through Friday, 9-5 PM GMT.
  • Free bug fixes and enhancements
  • Discounted rates for end-user advanced training
  • Direct troubleshooting of your system via call-in is available to users who have PC Anywere, RDP/Terminal Services, or VNC and (preferably) a high-speed Internet connection.
  • Unlimited access to MIMSY XG Support on the Willoughby Web Site (available only to users with Web access)
  • Free upgrades to MIMSY running on the same version of Oracle on which your system was originally installed (i.e., Oracle 9i)
  • Membership in the Willoughby Users Group (WUG) and membership in the Willoughby Users Group List Server (WUGLS)
  • Free consultation relating to complex data issues

Software support fees are 20% of the then-current list price of the level of software you have licensed. List prices are set in January of each year and may increase or decrease from those in effect at the time of your original purchase. Your annual support fees, therefore, may increase or decrease from year to year.

Special Features

One of the most salient features of MIMSY XG is the flexibility it offers registrars, archivists, and curators whose task it is to catalogue a wide variety of collections. MIMSY XG allows users to easily add the specialised database fields required for a far-reaching collection:

  • MIMSY XG allows end-users to easily change the field label, help text, button text, data defaults, pop-up lists (often called authority files), field order arrangement, the fields that appear on the screen, cell size, the attributes of the text that will appear in the field, and many other important functions of the system throughout the database. The MIMSY XG Administrator can easily make any change to these areas of the system in seconds.
  • Users can also choose to work in the format that matches their working style. Users can work in form or grid mode to do all CMS tasks including data entry, grouping functions, and searching. As with the forms, all grids can be rearranged, sorted on, and manipulated to meet each user's unique needs.
  • User-selected data from any module of the system can be exported with one easy keystroke command into external programs, including Word, Excel, Access, Rich Text Format, and a variety of other standard formats. This ease of export allows for the quick and easy sharing of data and facilitates a user's ability to incorporate collection data in their day-to-day documentation tasks. A MARC import/export routine and an ASCII export for the Catalogue are also available to clients upon request.
  • MIMSY XG users can create an unlimited number of collection- or discipline-specific screens (also called 'Views') in the database. Each View can display the modules, fields, field labels, and pop-up lists (authority files) appropriate for that user's discipline and needs. For example, the donor name in the 'Staff' View might be visible on-screen. In the 'Intern' View, the field might be hidden. Using MIMSY XG's unique View technology, all of the client's collections can be housed in one database and, based on a user's log-on, each user will see their unique, DBA-specified portion of the collection arranged in the manner that they have selected. The ability to house a variety of different collection types in one system while allowing each specific user the luxury of feeling that the system was custom-built to meet their specific needs is a hallmark of MIMSY XG's innovative technology.
  • Images can be displayed in individual (with multi-focus, multi-zoom features) and light board (depending on your screen resolution, up to 16 images on the monitor at a time) format or they can be viewed and manipulated in our external image browser. This browser, which exists outside of the database and can be used as an alternative, image-based CMS, allowing users to load images either individually or by groups, e-mail images through the user's external communications system, create and manage new groups of images, and facilities a user's ability to save these new groups in the order in which they have arranged them on the screen. This new program-which is EXTREMELY easy to use, is designed to allow exhibition designers, educators and other users an opportunity to work with the 'objects' in a user-friendly, image-based environment that requires very little training to use.
